ASCENSION is seeking a highly organized, analytical, and detail-oriented Training Operations & Reporting Analyst to support the operational administration, participant tracking, data collection, and reporting activities associated with a Federal grants management training program for the U.S. Department of Labor’s Employment and Training Administration.
This role is designed for someone who enjoys turning the administrative activity surrounding a training program into accurate, actionable information. The successful candidate will help ensure that registrations, attendance, participant feedback, completion information, session records, issues, action items, and training outcomes are consistently captured and converted into reliable reports for program leadership.
This individual will serve as the operational bridge between the Project Manager, instructors, and training participants. By assuming responsibility for the program’s reporting and administrative data, the analyst will allow the Project Manager and instructors to remain focused on program management, curriculum quality, and instruction rather than spending unnecessary time compiling attendance records, analyzing surveys, and preparing repetitive reports.
The ideal candidate is a strong organizer and communicator who can manage multiple small but time-sensitive activities without losing accuracy. Candidates should be comfortable working independently in a remote environment, anticipating missing information, following up professionally, maintaining clean records, and converting quantitative and qualitative feedback into concise written summaries.
Position Summary
The Training Operations & Reporting Analyst will support the planning, administration, execution, and closeout of remote training sessions covering Federal Award Cost Principles, questioned costs, fraud prevention and detection, and indirect cost rates.
The role will maintain the operational record of the training program, including registration and attendance information, participant rosters, session records, evaluation results, customer service inquiries, issue and action trackers, and completion metrics. The analyst will consolidate participant feedback, identify recurring themes, prepare tables and summary statistics, and develop draft content for both session-level and final program reports.
Day-to-Day and Periodic Activities
- TRACK participant registrations, training selections, session assignments, cancellations, transfers, attendance, completion status, and makeup-session needs across the four training subject areas.
- MAINTAIN accurate participant rosters and session-level administrative records for potentially up to 400 training slots across the program.
- COORDINATE with the Project Manager and training team to confirm participant lists, scheduled sessions, reporting deadlines, and outstanding administrative actions.
- PREPARE attendance rosters, registration lists, session tracking sheets, participant communications, feedback instruments, and standardized reporting templates.
- MONITOR registration levels and identify scheduling conflicts, capacity concerns, participant changes, no-shows, cancellations, and potential requirements for makeup sessions.
- RECORD actual session attendance and reconcile attendance records against registrations and scheduled participants.
- COLLECT participant feedback, course evaluation responses, instructor observations, customer service information, and other data required to assess training execution.
- CONSOLIDATE quantitative and qualitative feedback into standardized datasets for analysis.
- ANALYZE survey and feedback responses to identify recurring themes, strengths, improvement opportunities, participant concerns, and potential follow-up actions.
- CALCULATE training metrics such as enrollment, attendance, completion, cancellation/no-show rates, response rates, session utilization, feedback themes, and makeup-session demand.
- DEVELOP tables, charts, summaries, and other reporting inputs that clearly communicate training participation and results.
- DRAFT written summary reports following each training session and coordinate review with the Project Manager and appropriate subject matter experts.
- SUPPORT delivery of each required session report within the Government’s one-week post-session reporting requirement.
- PREPARE consolidated inputs for the final written report covering all training sessions and program-level results.
- MAINTAIN issue, risk, decision, action-item, and customer service trackers related to training operations.
- FOLLOW UP with responsible team members to close outstanding reporting, participant, scheduling, or administrative actions.
- QUALITY-CHECK attendance figures, completion statistics, survey counts, calculations, narrative summaries, dates, and other information before reports are released.
- CONTROL document versions and organize session records so supporting information can be retrieved quickly if requested by the Project Manager or Government.
- FORMAT reports, tables, appendices, and supporting materials using Microsoft Word, Excel, PowerPoint, PDF, and approved collaboration platforms.
- SUPPORT virtual session administration as required, including participant entry, attendance confirmation, chat/question tracking, polls, evaluations, and post-session records.
- RESPOND professionally and courteously to routine participant questions regarding registration, attendance, schedules, materials, evaluations, and completion status.
- ESCALATE participant concerns, technical issues, scheduling conflicts, data discrepancies, or recurring customer service issues to the Project Manager.
- PROTECT participant and program information in accordance with applicable DOL information-handling requirements.
- DOCUMENT lessons learned and recommend practical improvements to registration, data collection, feedback, reporting, and session administration processes.

| DESIRED QUALIFICATIONS | Federal Government training or professional development programs; training evaluation and learning analytics; Federal contractor program support; survey development and feedback analysis; developing training completion or participation metrics; preparing recurring client reports; supporting virtual training sessions involving large participant groups; Microsoft Forms or similar survey tools; SharePoint document libraries and lists; Power BI or Tableau; basic dashboard development; Federal grants, financial management, acquisition, or compliance training environments; and familiarity with quality assurance or quality-control processes. | Knowledge of 2 CFR Part 200 is desirable but should not be mandatory for this position. This is an operations/reporting role, not the grant-management subject matter expert or instructor.
