Ascension LLC seeks a motivated Secretary II to provide administrative, clerical, and operational support for the DHS/FPS Phoenix District Office. The Secretary II will serve as a key member of the administrative team supporting FPS leadership in ensuring effective coordination of operations, reporting, and documentation across mission functions.

Secretary II Day-to-Day Responsibilities

  • Provide general administrative support to FPS management and staff, ensuring efficient office operations.
  • Answer phones, manage visitor access, schedule meetings, and coordinate logistics.
  • Prepare, proofread, and edit correspondence and reports for accuracy and format.
  • Maintain office records, filing systems, and digital databases in compliance with FPS protocols.
  • Support personnel recordkeeping and timekeeping through GovTA; run attendance and status reports.
  • Track and maintain program data for post inspections, vehicle mileage, facility assessments, and supply inventories.
  • Update databases for Post Orders, PTS, PSO audits, and STORM task tracking.
  • Assist in guard service request preparation and coordination with PSO programs.
  • Support FPS training record maintenance and report submission.
  • Assist with budget-related documentation, supply ordering, and inventory tracking.
  • Cross-train with other FPS administrative staff to ensure continuity of operations.

DESIRED SKILLS/QUALIFICATIONSPrior experience in a Federal or security-related environment. | Familiarity with FPS tools (GovTA, LEIMS, PTS, STORM). | Strong interpersonal skills and customer service mindset. | Ability to coordinate across geographically dispersed offices.
SUITABILITY/SECURITY RQMTSMust be a U.S. Citizen. | Must pass DHS/FPS suitability investigation and obtain HSPD-12 PIV credential. | Must complete annual DHS privacy and IT security training.
