Ascension LLC seeks a Secretary II to provide full-time administrative and program support to the Federal Protective Service (FPS) Region 9 San Francisco District Office. The Secretary II performs a variety of standard and non-standard administrative, clerical, and operational duties supporting FPS mission activities, ensuring smooth day-to-day operations and effective communication across leadership and staff.
Secretary II Day-to-Day Responsibilities
- Provide administrative and clerical support to FPS District and Area Commanders, maintaining office workflow and document control.
- Manage front desk operations—greeting visitors, answering calls, scheduling meetings, and handling correspondence.
- Prepare, review, and organize reports, spreadsheets, and presentations in Microsoft Office applications.
- Maintain calendars for multiple FPS officials, including scheduling teleconferences, meetings, and facility reservations.
- Prepare meeting materials, take detailed minutes, and maintain official records.
- Support preparation of budget and procurement documentation and assist with tracking expenditures and supplies.
- File and maintain personnel and administrative records, including timekeeping support via GovTA.
- Maintain databases and shared folders, ensuring information accuracy and accessibility.
- Track and update reports for post inspections, prohibited items, vehicle usage, and guard program activities.
- Support Facility Security Assessments (FSA) and maintain associated documentation.
- Handle mail distribution, inventory management, and recordkeeping duties.
- Perform other administrative duties as assigned by FPS management.
