Ascension LLC is seeking a Mid-Level Contract Specialist to support the U.S. Coast Guard (USCG) in contract administration and management. This position requires a detail-oriented and highly organized professional who will be responsible for cradle-to-grave contract support services, including contract pre-award, post-award, and closeout functions. The ideal candidate will have strong federal contracting experience, with expertise in market research, solicitation development, and contract compliance. The role plays a critical part in ensuring compliance with FAR, DHS, and USCG policies, and involves managing multiple tasks with minimal supervision in a dynamic, fast-paced environment.


Summary of the Contractor Role:

The Mid-Level Contract Specialist will be responsible for providing comprehensive contract support services for the USCG. The role involves supporting the full contracting lifecycle, from market research and solicitation phases to contract administration and closeout. The specialist will collaborate with USCG leadership to prepare solicitation documents, support post-award contract administration, assist with invoice processing, maintain contract files, and contribute to reporting and compliance functions. The contractor will be expected to use various procurement systems (e.g., FPDS-NG, FSMS, KOFAX MarkView) and assist with data migration and reporting.

The ideal candidate must have strong problem-solving skills, the ability to anticipate issues, and the capacity to manage multiple competing priorities effectively. In addition, the candidate should be self-driven, able to work in an ambiguous environment with minimal guidance, and maintain a proactive approach to contract administration.


Day-to-Day Activities (Responsibilities):

  • Assist with procurement planning, market research, and analysis for contract opportunities.
  • Support the preparation of pre-solicitation documents, including Justifications and Approvals.
  • Assist with developing solicitation documents, including requests for proposals (RFPs), and providing analysis for questions received.
  • Prepare and assemble contract files for the solicitation and award phases.
  • Provide contract administration support such as invoice processing, tracking deliverables, and ensuring compliance with contract terms.
  • Maintain and update contract action trackers, ensuring timely execution of milestones.
  • Assist with claims, modifications, and tracking of contract actions in contract management systems.
  • Assist with post-award activities, including contract modifications, FPDS-NG reporting, and performance assessments.
  • Provide support with Freedom of Information Act (FOIA) requests and public record searches related to contracts.
  • Prepare reports, executive-level briefings, and presentations for leadership.
  • Collaborate with various internal and external stakeholders to ensure smooth execution of tasks.

Sustainability RequirementsClearance Level: Public Trust (Medium Risk). Other Requirements: Background investigation and clearance processing as per USCG requirements. | Ability to pass a fingerprint check and meet HSPD-12 credentialing standards.
