Ascension LLC is seeking a detail-oriented Secretary II to provide full-time administrative and clerical support at the DHS/FPS San Diego District Office. This role supports FPS leadership by coordinating administrative operations, managing office communications, and maintaining essential data and documentation to sustain FPS security and mission readiness.

Secretary II Day-to-Day Responsibilities:

  • Serve as the administrative point of contact for FPS District Commanders and staff.
  • Greet visitors, manage correspondence, and maintain office communication logs.
  • Coordinate and schedule meetings, video calls, and conference room usage; prepare and distribute meeting materials.
  • Maintain FPS official records, correspondence, and timekeeping documentation in GovTA.
  • Compile reports for facility assessments, vehicle audits, and post inspections.
  • Maintain access to FPS databases for data entry and report generation.
  • Track Post Orders, PSO audits, training records, and prohibited items reporting.
  • Manage mail distribution, supply tracking, and office inventory control.
  • Support the Security Management Branch and Protective Security Operations Officer (PSOO) with guard service requests and document preparation.
  • Assist in maintaining the Post Tracking System (PTS) and STORM database for tasking and reporting.
  • Provide backup administrative support for nearby FPS district offices as needed.

DESIRED SKILLS/QUALIFICATIONSPrior experience supporting DHS, FPS, or Federal program offices. | Familiarity with FPS systems (GovTA, LEIMS, PTS, Webview). | Demonstrated initiative and reliability in supporting mission-critical tasks. | Ability to handle sensitive information in compliance with DHS privacy and security standards.
SUITABILITY/SECURITY RQMTSMust be a U.S. Citizen. | Must successfully pass a DHS suitability background investigation (HSPD-12) | Must complete all DHS-mandated annual security and privacy training.
