ASCENSION is seeking an experienced Virtual Training Producer to provide the technical, logistical, and participant-support backbone for live virtual grants-management training delivered to U.S. Department of Labor Employment and Training Administration personnel.

The ideal candidate understands that producing a successful virtual government training session involves much more than opening a Microsoft Teams or Zoom meeting. This individual will be responsible for creating a controlled virtual classroom environment in which instructors can teach without being distracted by technology, participants can readily interact with the content, attendance and engagement can be documented, and unexpected technical issues can be resolved without disrupting the learning experience.

We are particularly interested in candidates who have supported live webinars, instructor-led virtual training, virtual classrooms, government or corporate learning events, or professional development programs involving moderate to large participant groups. Strong candidates will be comfortable managing participant entry, audio and video controls, screen sharing, presentations, breakout rooms when applicable, polls, chat, Q&A, attendance records, recordings when authorized, and real-time troubleshooting.

This position is well suited for someone who is calm under pressure, technologically resourceful, highly organized, responsive, and comfortable working behind the scenes to make complex live sessions appear effortless to participants.

Position Summary

The Virtual Training Producer will support ASCENSION’s delivery of remote grants-management training for DOL/ETA personnel. The PWS requires training in four areas: Federal Award Cost Principles under 2 CFR Part 200 Subpart E; questioned and disallowed costs; fraud prevention and detection in Federal grants; and developing and monitoring indirect cost rate proposals. At least two sessions must be offered for each subject area, creating a minimum of eight virtual sessions during the performance period.

The Virtual Training Producer is not expected to serve as the grants-management instructor or substantive Federal grants SME. Instead, this role will partner with the instructor, Project Manager, and training support team to ensure each session is technically ready, appropriately configured, professionally facilitated, and accurately documented.

The Producer will conduct pre-session technical checks, configure the virtual classroom, coordinate presenter permissions, support participant access, monitor session activity, manage virtual engagement tools, troubleshoot connectivity and platform issues, and assist with collection of attendance and other information required for post-session reporting.

The role requires the judgment to identify technical problems before they affect delivery and the composure to resolve issues rapidly during live events. Because DOL’s performance standards emphasize timely service and low levels of customer complaints, the Producer will also help protect the program against preventable virtual-delivery disruptions.

Position Day-to-Day / Session-Based Activities

  • Configure virtual training environments in Microsoft Teams, Zoom, Adobe Connect, Webex, or other Government-approved platforms before scheduled sessions.
  • Conduct pre-session technology checks with instructors and other presenters to validate microphones, cameras, presentations, screen sharing, connectivity, permissions, and audiovisual content.
  • Develop session-specific production checklists covering platform configuration, presenter access, participant admission, materials, polls, chat, Q&A, breakout activities, attendance capture, and contingency procedures.
  • Launch virtual training rooms sufficiently in advance of scheduled start times to complete final systems checks and receive instructors.
  • Admit participants and manage waiting rooms, lobbies, authentication requirements, or other access controls.
  • Welcome participants with appropriate technical instructions regarding microphones, cameras, chat, Q&A, reactions, accessibility features, and participation protocols.
  • Monitor participant connectivity, audio, video, chat, hand raises, Q&A, presentation sharing, and overall virtual classroom activity throughout each session.
  • Manage screen-sharing privileges, presenter permissions, slides, videos, polls, breakout rooms, whiteboards, links, and other interactive functionality when incorporated into the training.
  • Moderate participant chat and Q&A queues and route substantive questions to the instructor at appropriate points in the session.
  • Troubleshoot participant and presenter access, audio, video, screen-sharing, browser, connectivity, and platform issues in real time.
  • Coordinate privately with instructors during live sessions to resolve production issues without unnecessarily interrupting instruction.
  • Maintain accurate participant attendance and session participation records using approved platform reports or attendance-tracking procedures.
  • Support administration of electronic polls, evaluations, surveys, and knowledge checks when required.
  • Monitor timing against the approved agenda and notify the instructor of approaching breaks, exercises, Q&A segments, or session close.
  • Protect the continuity of instruction by activating contingency procedures when presenters experience connectivity or platform failures.
  • Document technical incidents, participant-support issues, and lessons learned that could affect subsequent sessions.
  • Verify that approved training materials, links, handouts, and participant resources are available and accessible before each session.
  • Coordinate with the Project Manager, instructor, instructional-design personnel, and reporting staff regarding schedules, technical requirements, attendance data, and post-session information.
  • Support mock sessions, dry runs, rehearsals, and instructor practice sessions before production delivery.
  • Review subsequent session configurations and production procedures based on lessons learned from prior deliveries.
  • Maintain organized electronic files for production checklists, attendance records, technical logs, session materials, and supporting documentation.
  • Follow Government and ASCENSION requirements governing protection of participant information and appropriate handling of training-related records.
  • Escalate unresolved technical or scheduling risks promptly to the Project Manager.
  • Contribute attendance, participation, technical-performance, and other relevant information needed for the written summary report required after each training session.
