Ascension is seeking a detail-oriented Documentation and Deliverables Specialist to support IT research and advisory services for a federal homeland security customer. This role is designed for an early-career documentation professional who can help prepare, format, edit, track, and finalize written deliverables such as reports, briefs, meeting materials, research summaries, and Section 508-compliant documents.
This position is important because the customer’s leadership team requires clear, timely, well-organized written products to support technology planning, IT strategy reviews, research priorities, workshops, advisory meetings, and executive decision-making. The requirement includes written research reports, strategy document reviews, workshop outputs, advisory call coordination, and electronic delivery of documentation to the Government. The SOW specifically requires research reports, advisory calls/meetings, annual workshops, review/comment on strategy documents, and electronic delivery of written reports and licenses.
The ideal candidate is organized, responsive, comfortable working in Microsoft 365, and able to support deliverable-heavy work without needing to be a senior technical writer. This role is best suited for someone who can take content from analysts, advisors, project managers, or subject matter experts and turn it into clean, consistent, professional, and compliant deliverables.
Summary of the Contractor Role
The Documentation and Deliverables Specialist will support Ascension’s project team by producing, editing, formatting, maintaining, and submitting written products associated with IT research and support services. The role will focus on documentation quality, version control, formatting consistency, accessibility, file organization, and deliverable readiness.
The customer requires licensed access to IT research and advisory services covering IT products, services, processes, metrics, roles/functions, cloud computing, mobility, infrastructure, cybersecurity, portfolio management, applications, telecommunications, and government technology trends. This position supports the delivery side of that requirement by ensuring written products are polished, organized, accessible, and ready for Government review.
The selected contractor should be self-driven, detail-focused, and comfortable managing multiple documents at different stages of review. The role will require coordination with project managers, analysts, advisors, and client-facing staff to ensure deliverables are accurate, timely, easy to read, and aligned with customer expectations.
Expected Day-to-Day Activities
- Prepare draft reports, briefs, meeting materials, workshop materials, research summaries, and deliverable packages.
- Format documents using approved templates, headings, tables, graphics, page numbers, references, and file-naming conventions.
- Edit and proofread written products for grammar, consistency, formatting, readability, and professional presentation.
- Convert Word, PowerPoint, and Excel files into clean PDF deliverables when required.
- Apply Section 508 accessibility practices to electronic documents, including headings, alt text, reading order, table structure, color contrast review, and accessibility checks.
- Maintain deliverable trackers, version histories, document logs, review comments, and submission records.
- Coordinate with analysts, project managers, and subject matter experts to collect inputs and finalize deliverables.
- Prepare meeting agendas, notes, action item logs, and follow-up documentation.
- Support workshop documentation, including participant materials, summary notes, priority lists, roadmap inputs, and final workshop outputs.
- Organize project files in SharePoint, Teams, or other approved repositories.
- Review documents for consistency with customer instructions, contract deliverable requirements, and internal quality standards.
- Support invoice backup documentation by organizing monthly deliverable evidence, if requested by the project manager.
- Assist with final quality checks before deliverables are submitted to the Government.
