Ascension LLC is seeking an Administrative Specialist II to support the U.S. Coast Guard (USCG) through a Blanket Purchase Agreement (BPA) for Contract Support Services. The Administrative Specialist will assist senior leadership within the Contracting & Procurement (C&P) enterprise, providing critical administrative services to optimize project workflows, streamline processes, and maintain operational efficiency. This role will directly impact USCG’s ability to meet mission requirements by facilitating critical scheduling, data management, and document preparation tasks.

Key Responsibilities:

  • Provide administrative support to senior leadership including calendar management, meeting coordination, document preparation, and data management.
  • Manage and track contract documentation, ensuring all records are accurately maintained in MS Access and Excel.
  • Assist in preparing briefing books and support travel arrangements and claims.
  • Facilitate data calls and assist in the gathering and management of data across multiple USCG programs.
  • Participate in contracting systems support for FPDS-NG and Contract Writing Systems by assisting with data entry, processing, and reporting.
  • Act as the liaison between senior management and contractors/vendors, managing administrative tasks and supporting smooth project execution.

Day-to-Day Activities:

  • Organize and manage calendars, schedule meetings, and send reminders.
  • Prepare and assemble documents, presentations, and reports for senior management.
  • Maintain and update spreadsheets, databases, and document systems in MS Access and Excel.
  • Facilitate coordination for travel claims, data gathering, and process improvements.
  • Collaborate closely with the project teams, assisting with contract management and tracking milestones.
