Ascension is seeking a highly organized, detail-oriented Administrative Staff / Clerical professional to provide essential administrative and operational support across transportation planning and consulting engagements. This role is critical to ensuring the efficiency, accuracy, and coordination of program activities, documentation, and communications that support client-facing deliverables.
The ideal candidate thrives in a fast-paced, multi-project environment and serves as the operational backbone of project teams by managing data, maintaining records, and supporting administrative workflows. This position plays a key role in enabling technical staff, planners, analysts, and leadership to focus on high-value program delivery while ensuring administrative functions are executed seamlessly and accurately.
Position Summary
The Administrative Staff / Clerical professional provides comprehensive administrative, clerical, and coordination support to transportation planning and consulting teams. This includes document preparation, data entry, records management, scheduling, correspondence, and general office support aligned with project and program requirements.
The ideal candidate is highly dependable, proactive, and capable of managing multiple priorities with minimal supervision. They possess strong organizational and communication skills, maintain high accuracy in documentation, and demonstrate the ability to anticipate needs, resolve administrative challenges, and support efficient program execution.
This role supports the client’s need for structured documentation, timely communication, and accurate recordkeeping, ensuring compliance with project requirements and supporting overall program performance.
Key Responsibilities / Day-to-Day Activities
- Provide administrative and clerical support to project teams, leadership, and stakeholders
- Perform data entry, validation, and maintenance of project records and databases
- Prepare, format, and edit correspondence, reports, meeting materials, and documentation
- Maintain organized filing systems (electronic and/or physical) for project documentation and records
- Coordinate meetings, including scheduling, agenda preparation, and meeting logistics
- Take meeting notes and track action items to support project execution and follow-up
- Manage incoming and outgoing communications, including emails, phone calls, and document distribution
- Support document control processes to ensure version accuracy and compliance
- Assist with tracking project deliverables, deadlines, and administrative milestones
- Perform quality checks on documents to ensure accuracy, completeness, and consistency
- Support travel coordination, event logistics, or stakeholder engagements, as required
- Maintain confidentiality and safeguard sensitive information in accordance with policies
